Privacy Policy

Our role
CCS29 is a service provider to private clubs. The club and member data in CCS29 belongs to the club. We process it on the club’s instructions, to operate, support and secure the platform, and for nothing else.
If you are a club member and you have a question about your own data, contact your club. They control it; we hold it for them.
What we collect
From clubs using CCS29: staff and member records including names and contact details, membership and account records, transactions, reservations, lodging bookings, and any employment records the club chooses to store in our HR and payroll module.
From visitors to ccs29.com: demo request form submissions, and standard page-visit analytics.
What we do not do
We do not sell personal data. We do not share one club’s data with another club. We do not use club or member data to train models. We do not market to your members.
Payments
Payments are processed by Stripe. Card numbers and bank account details are entered directly with Stripe and are never stored on CCS29 systems. We retain only what we need to show a payment on an account: amount, date, status, and a reference.
Accounting integrations
If your club connects QuickBooks, CCS29 reads your chart of accounts so you can map club activity to your accounts, and writes one summary journal entry per period.
No member names, member balances or individual transactions are sent to QuickBooks. Only period totals by account. Member-level detail stays in CCS29.
Your club controls the connection and can disconnect it at any time, which revokes our access immediately.
Service providers
We use a small number of providers, each only for the purpose listed:

They may process data only as needed to provide those services to us.
Employment and payroll records
Where a club uses our HR and payroll module, we hold employment records on the club’s behalf, which can include pay rates, hours, pay stubs and related tax information. This data is treated as confidential, is visible only to staff the club has given the relevant role, and is never used for any purpose other than providing the module to that club.
Security
Data is encrypted in transit and at rest. Access to production systems is limited to personnel who need it. Each club’s data is separated by club, and the application enforces role-based access within a club.
No system is perfectly secure. If a breach affects your club’s data we will tell you promptly and tell you what we know.
Retention and requests
We keep club data for the life of the club’s account. After termination we return or delete it at the club’s request.
Members should direct requests about their own data to their club. Clubs can reach us at the address below for any data request, including export or deletion.
Changes
We may update this policy. The effective date above always reflects the current version, and we will tell clubs by email about material changes.
